Is X School eligible to shop at Crayons to Computers? - To be eligible to shop at Crayons to Computers, your school must meet these criteria:
Be a preschool through grade 12 school or preschool program.
Have at least 55% of the students qualifying for the USDA’s National School Lunch Program.
Be located within the 16 counties of Greater Cincinnati that we serve.

What if my school isn’t eligible?
We allow teachers at schools that don’t currently qualify to shop through our Volunteer-to-Shop program. You can read more about it on our website and contact Taylor if you have any questions or are interested.
Why is my school not eligible anymore?
If a school falls below 55% for more than one school year, they will be taken off the list of Qualified-to-Shop schools until the threshold is met again.
How do schools qualify to shop at crayons to computers?
Shopping eligibility is determined by the percentage of the student population receiving free or reduced-cost lunch through the USDA’s National School Lunch Program. In order to be qualified-to-shop, a school must:
Have at least 55% or more of the students utilize the USDA lunch program AND have reported this information through the state’s Department of Education in the previous year.
Be located in one of the 16 counties included in Crayons to Computers’ service area (visit our website for the list of 2025-2026 Qualified-to-Shop schools and eligible counties, https://cc-user-ry6f.squarespace.com/general-information-1).
Have been in existence for a minimum of one school year.
Which school personnel qualify to shop at crayons to computers?
School personnel who are eligible to shop include:
Full-Time, Certified, Classroom Teachers and Specials Teachers, including Art, Physical Education, Library/Media, and Music.
Full-Time Intervention/Resource Specialists with their own contained classroom.
Full-Time Resource Coordinators, Counselors, Speech Pathologists, Physical and Occupational Therapists, and Psychologists.
Principals, Assistant Principals, and Deans.
A designated Secretary or Administrative Assistant per school.
**Shoppers must be an employee of the school** Parents, Substitutes, and School Volunteers are not eligible. School Resource Officers, Transportation, and Food Service Staff are not eligible to shop. Shopping question
What is the access fee payment process?
The access fee is $25 for individual teachers when paid before September 1st, the fee goes to $30 after that date.

When payment is received, we will send you a template to provide information on the staff you are covering with the fee. Questions regarding eligible shopper lists and updates should be emailed to Caitlin Philpott, cphilpott@crayons2computers.org. You must complete this template to shop, allowing 1 business day for updates to take effect

How do I shop if I’m eligible?
When teachers arrive to shop at Crayons to Computers, a staff member or volunteer will greet, check in, and orient you to the Teacher Resource Center. Please bring a school ID with a photo or a diver’s license to check in, and consider bringing your own bags. Parking is available on the east side of the building closest to the Teacher Resource Center entrance, but if it is full, there are several additional options available. If you are interested, I can provide more parking information!
What should I bring to shop?
Teachers must provide a school ID with a photo or a driver’s license to check in.
We provide boxes for shoppers, but we cannot always guarantee we will have enough stock, so please consider bringing your own boxes or reusable bags.
Where do I park?
Parking is available on the east side of the building closest to the Teacher Resource Center entrance.
If this parking lot is full, there is an overflow lot available on the west side of the building. There is also limited on-street parking. Always enter through the Teacher Resource Center entrance on the east side of the building. We appreciate your following all parking signs and only parking in legal parking spaces. Please do not park in front of our loading docks or block any other cars in our lots.
Please do not park in any neighboring businesses’ parking lots.
Please do not leave purses or any other valuables in your car while you shop.
Crayons to Computers is not responsible for lost or stolen articles.
Can I bring someone along when I shop?/Can I have guests?
Children & guests must stay with the shopper at all times and are not eligible to shop themselves. Due to the size of our shopping space, and out of consideration for your fellow shoppers, please limit the number of shopping companions (including small children) that you bring.

What is the hall pass scholarship?
Hall Pass Scholarship applications will be open on June 16 for the 2025-2026 school year. Hall Pass is a need-based sponsorship of your $30 Teacher Access Fee (individual) for the upcoming school year. If awarded, you will be eligible for up to 10 shops for the school year (either in-store or online!).
To be considered for the scholarship, you must be an eligible teacher or staff member at one of our qualified K-12 schools who has not already had their access fee paid for the upcoming school year. *[Pre-K programs and staff should not apply at this time]*. *Volunteer-to-Shop participants are not eligible for a scholarship at this time.*

K-12: Once we receive your payment and staff list we will get your teachers registered in our system. Once registration is complete, they will get an email indicating that they are all set to shop. The teachers should not come in to shop before receiving that email.

Can I donate a monitor?
You can if it is working, but we do not accept non-working monitors or ones without an HDMI port!

Can I donate books?
Yes, only books without explicit material.
